- • Account Information: Email address, display name, password (hashed). If you sign in with Apple or Google, we receive the name and email address they share with us

- • Authentication Data: User ID, authentication tokens
2.2 Lecture and Study Data
- • Lecture Transcripts: The text transcript of lectures you record. Koala does not upload or store lecture audio; only the text is saved
- • CART Transcripts: CART (Communication Access Realtime Translation) transcripts and interpreter notes you upload
- • Scanned Documents: Lecture notes, textbook pages, handouts, and other documents you scan and upload
- • Notes & Study Materials: Notes you create, import, or paste
- • Generated Content: AI-generated flashcards, quizzes, study guides, and summaries
2.3 Usage Data
- • Device Information: Device type and operating system
- • Analytics: Which features you use, how long you use the app, study streaks, and XP. Our analytics do not record your IP address
- • Push Notification Token: If you allow notifications, a device token so we can send study reminders
- • Stored only on your device: App preferences and focus timer settings, which are never sent to us
2.4 Communication Data
- • Contact Form Submissions: Messages sent through our contact form
- • Support Inquiries: Any communications with our support team
- • Study Buddy Interactions: Messages you send to our AI tutor, which are processed to answer you but not stored on our servers
2.5 What Other Students Can See
- • Leaderboard: Other signed-in students can see your display name and total XP. Display names with more than one word are shortened to a first name and last initial (for example, "Alex R."), so full names are never shown. Your email address is never shown, and if you haven't chosen a display name, you appear as "Student"
- • Classes: If you join a class or share a lecture to a class, members of that class can see the content you choose to share
- • Everything else, including your lectures, notes, and study materials, is private to you
We use collected data for:
- • Providing and improving the Service
- • Processing your lecture transcripts and notes
- • Processing CART transcripts, interpreter notes, and scanned documents you upload
- • Generating AI-powered study materials (flashcards, quizzes, study guides) based on uploaded content
- • Powering the Study Buddy AI tutor feature for personalized help
- • Sending study reminders, service updates, and support communications
- • Analyzing how the app is used to improve user experience
- • Detecting and preventing fraud or abuse
- • Complying with legal obligations
IMPORTANT: You are responsible for ensuring that any content you upload (recordings, CART transcripts, interpreter notes, or scanned documents) complies with your institution's policies and applicable laws.
4.1 Lecture Recordings & Transcripts
- • Speech is turned into text by your device's built-in speech recognition (Apple's on iPhone, your browser's on the web). Depending on your device, Apple or your browser provider may process the audio under their own privacy policies
- • Koala never uploads or stores lecture audio; only the text transcript is saved to your account
- • Content is used to generate flashcards, quizzes, and Study Buddy materials
- • You can request deletion at any time
- • You are responsible for ensuring compliance with institutional policies
4.2 CART Transcripts & Interpreter Notes
- • Content is stored securely on our servers
- • Transcripts are processed to generate study materials
- • You can request deletion at any time
- • You are responsible for ensuring you have the right to upload the content
- • Content must comply with your institution's intellectual property policies
4.3 Scanned Documents
- • Photos are sent to our AI provider (xAI) to read the text in them
- • Only the extracted text is saved to your account; the photos themselves are not stored
- • Content is processed to generate study materials
- • You can request deletion at any time
- • You are responsible for owning or having permission to use documents
- • You are responsible for compliance with copyright laws and fair use doctrine
Koala.ai's Study Buddy feature uses AI to provide personalized tutoring based on your uploaded transcripts and study materials. This feature:
- • Analyzes your transcript content to answer questions about your specific class
- • Sends your question and the lecture's notes to our AI provider (xAI Grok) to generate an answer
- • Does not store your conversations on our servers
- • Does not share your conversations with other users
We implement industry-standard security measures to protect your personal data:
- • HTTPS encryption for all data in transit
- • Database encryption for data at rest
- • Secure authentication and session management
- • Regular security updates and monitoring
However, no method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
We use third-party services that may collect and process your data:
- • Supabase: Database and authentication services
- • xAI (Grok): AI generation of notes, flashcards, quizzes, reading photos of notes, and Study Buddy
- • Vercel: Hosting and deployment. Like most hosting providers, it may temporarily log technical request data such as IP addresses for security and reliability
- • OneSignal: Push notifications for study reminders, if you allow them
- • Apple and Google: Sign in with Apple and Google, and speech-to-text through your device
- • Resend: Email delivery for contact form replies and account emails

You have the right to:

- • Correction: Request correction of inaccurate data
- • Deletion: Request deletion of your account and associated data

We retain your data as long as you maintain an active account. When you delete your account:

- • Legal obligations may require retention of certain data
Lecture content (transcripts and notes) is the intellectual property of your professor and/or educational institution. We store this data on your behalf for your personal study use only. We do not:
- • Share your lectures with other users, unless you choose to share a lecture to a class
- • Use your lecture content for commercial purposes
- • Publish or redistribute your lecture content
- • Claim ownership of lecture content
If a professor or institution requests deletion of lecture content, we will comply upon verification of their request.
Our Service is not intended for users under the age of 13. We do not knowingly collect personal data from children under 13. If we discover we have collected such data, we will delete it immediately.
